Youth Guidance/CHAOS fundraiser

On June 27th, CHAOS will be joining Youth Guidance (www.youth-guidance.org), a non profit that assists under-priveledged children in finding employment or attending college after high school, in a fundraiser.  The event will be held at Chicago Party Animals, located in the West Loop at 1133 W Fulton Market. (www.chicagopartyanimals.com)  I've created a very basic event on our calendar that includes the beer sign-up sheet: http://www.chaosbrewclub.net/event/chaosyouth-guidance-fundraiser

Here are the details:

- The fundraiser will basically be a tasting/competition of beer brewed by our members.  We'll need at least 100 gallons.  Whatever form that takes is up to us; 5 gallon batches/brewer or two 2.5/brewer, etc.

- The first, second, and third place brewers will receive prizes.  (The prizes haven't been determined yet, but will probably be in the form of gift cards and maybe even cooler stuff.  They're still working on it.)  The plan is for attendees to recieve tokens when they arrive, then leave them with the beers they like best.  The brewers with the most tokens win.

- Youth Guidance will cover the event and promotion costs.  We'll do our standard Facebook, Twitter, CHAOS promoting.

- CHAOS will have a table at the event to promote our club and, hopefully, get some new members.  They're expecting at least 200 people, so this is a great opportunity to reach a different crowd than, normally attends our club parties, for membership and, of course, to try our beer.

- As of now, they really don't need any volunteers from the club, except who we choose to man the CHAOS table.

- I'm working with them for discount tix to be available for Friend/Apprentice/Brewer level members.  

- The brewers will pour their own beer at the event.

 

Currently, the club is guaranteed at least a $500 donation from Youth Guidance, but we may receive a higher donation, depending on whether YG can get some sponsors to off set their costs.  (I know they're looking at some local breweries to perhaps sponsor.)  Either way, this is pretty much found money and free promotion for us, as the club isn't spending anything on the event.

As discussed in the meeting

As discussed in the meeting last night, I bumped this post to start getting some beers on the list.  We need at least 10 five gallon batches.  

Youth Guidance is currently busy with a fundraiser being held at the end of March.  Once that is over, we'll have more details ironed out for the June event.

I have a few updates for the

I have a few updates for the fundraising event:

- The event will be called Hops for Youth.  (Youth Guidance has another event called Hoops for Youth....)

- The Fat Shallot will provide a food truck for the evening.  http://www.thefatshallot.com

- They would like for us to create a menu for the event.  This could involve partnering with The Fat Shallot to include their food items with our beer; possibly pairing beer with food.  

- Youth Guidance would like to meet with us in April to hammer out the final details.  (Date tbd)

Jeff - I just put one on

Jeff - I just put one on there.  One question, though.  Maybe I am missing something, but why would we be taking a donation from a charity that helps underpriviledged kids?  Is that to offset our ingredient costs or something?  Sorry, I probably should have paid better attention when you were talking about this, but Kyle was being loud I think.

Haha!  Well, though the event

Haha!  Well, though the event is a fundraiser for Youth Guidance, it is based on the beer from our club, so kind of a joint fundraiser.  As we cannot actually sell beer, they are providing a donation to CHAOS; which will also make them a club partner.

I've set up a meeting with

I've set up a meeting with three members from the Youth Guidance board to hash out the fundraiser details.  We're going to meet on Tuesday, May 13th at 7:30 in the brew house.  (I put the meeting on our events calendar.)  Of course, anyone is encouraged to attend, but I would like a few board members present with me if possible.

I met with the Youth Guidance

I met with the Youth Guidance board last night to iron out the fundraiser details.  I'll post the notes, once they send them to me, but here are some of the more important items:

- We still need beer!  I feel like we should have 10-15 separate batches for the competition portion.  Matt has offered to provided some club beer just for attendees to drink.  (Matt, I created a section on the spreadsheet for club beer, so please add that when you get a chance.)  Here's the beer spreadsheet link: Beer Sign-up

- We will have an area for us to promote the club, sell merchandise, attempt to recruit corporate sponsors, etc.  Are we able to use the set-up being built for the AHA conference and the barrel self-serve for the club beers?  The YG board loved that stuff.

- The Fat Shallot people, who will be providing food truck service at the event, would like to work with us to create some recipes using our beer or pairing some of their food offerings with our beer.

- YG has asked if we would be interested in creating a flier/event poster for them to print, as well as the beer/food menu.

Thoughts?

That's the main stuff for us to tackle.  I'll post the notes, that have the remaining information, on this string.

Updated with club beers. We are welcome to use whatever we have for this event. At the present, we have a sh*tload of beer in the pipeline. I have yet to brew for this so if i know what the fat shallot is making or wants to make i could brew a style to fit...

Jeff, I can design a poster/flyer for the event. Do they have a production/marketing schedule?

It's not something I'd really be able to get started on untill Memorial Day weekend.

Great, I actually had you mind when they suggested it.  ;)  They are still working on the schedule, but after Memorial Day will be fine.  The board will provide us with their logo, as well.

Speaking of volunteers,

Speaking of volunteers, anyone interested in creating a mix for the event's music?  Something similar to what we do for our parties would be perfect.
